OFFICE ADMINISTRATOR

Reporting to the Data Centre Facilities Manager, the incumbent will be required to coordinate Office activities and operations ensuring efficiency and compliance with company policies. The incumbent will also be required to undertake additional responsibilities of customer account management and revenue growth in line with set targets through consultative selling, building and maintaining relationships with key customers, providing market insights to customers, and consulting with key functions to provide solutions that meet the customers’ commercial and operational needs.

Key performance areas

  • Manage appointments, agendas, meeting arrangements and travel arrangements for Management and key stakeholders.

  • Manage correspondence (phone calls, e-mails, letters, packages etc.).

  • Manage, coordinate, and supervise office housekeeping including office catering and cleaning, tracking the stock of office supplies and place orders, when necessary.

  • Manage, document and process persons visiting the Data Centre site in accordance with the site access policies and procedures.

  • Ensure all documents are filed in a systematic manner to ensure easy retrieval.

  • Submit timely reports and prepare presentations/proposals as assigned.

  • Assist colleagues whenever necessary; consult with BoFiNet Commercial staff (Public Relations, Communications, Marketing and Sales) for Data Centre related events/initiatives.

Competencies

  • Familiarity with Office Management procedures and basic accounting principles.

  • Outstanding communication and interpersonal abilities.

  • Impressive knowledge of MS Office tools (Excel, Word, Power Point, etc.) and Office Management software (e.g., ERP).

  • Knowledge of organizational business processes and procedures.

  • Ability to prioritize, maintain performance levels aligned to business objectives.

  • Business acumen and Business reporting.

  • Problem solving and analytical skills.

Academic qualifications & Experience

  • A minimum Diploma in Office Administration or relevant field.

  • A bachelor’s degree in business management/administration, Sales/Marketing will be an added advantage.

  • A minimum of 5 years’ post qualification experience in a commercially oriented environment is needed.

  • Experience working in a Hosting, Managed Services or Data Centre environment or Telecommunications Sales environment will be an added advantage.
